Non-Refundable Policy
Important operating terms and client-protection standards for JapanSolved™ engagements.
Clarity Before Commitment
JapanSolved™ handles complex Japan-related requests that often require careful review, private coordination, local research, third-party communication, strategic judgment, and reserved operational capacity before any visible result appears. For this reason, certain payments made to JapanSolved™ are non-refundable once review, preparation, consultation, research, quotation work, coordination, or case activation has begun.
This Non-Refundable Policy exists to make the engagement process clear before a client proceeds. It is not designed as a penalty. It is designed to protect the seriousness of the work, the time required to handle complex matters properly, and the operational capacity reserved for each accepted request.
JapanSolved™ does not operate like a standard retail checkout where a product can simply be returned unused. Many of our services involve analysis, access, communication, negotiation, interpretation, coordination, sourcing preparation, logistical planning, travel-related research, document review, private advisory work, and other forms of customized support. Once this work begins, professional time and internal resources have already been committed.
Why Certain Fees Are Non-Refundable
A non-refundable payment reflects the fact that value may be created before a final external result is achieved. In many Japan-related cases, the most important work happens early: understanding the request, identifying risks, evaluating feasibility, determining the correct route, preparing communication, reviewing available options, estimating likely costs, and deciding whether a case can responsibly proceed.
This work requires time, judgment, and attention. It may also require JapanSolved™ to reserve capacity, decline other work, contact third parties, begin internal research, or prepare a structured execution path. These actions cannot be reversed simply because a client later changes direction, delays communication, becomes unavailable, or decides not to proceed.
For this reason, fees related to intake, consultation, quotation preparation, research, case review, project activation, sourcing preparation, coordination, advisory work, document preparation, translation preparation, retainers, reserved capacity, or custom execution phases may be non-refundable.
Work May Begin Before a Visible Outcome Exists
Clients should understand that JapanSolved™ may begin working on a request as soon as a paid phase is accepted or activated. This work may include reviewing the details of the request, clarifying the client’s objective, assessing feasibility, identifying risks, checking possible routes, preparing internal notes, evaluating timing, considering vendors or third parties, estimating costs, planning communication, and reserving operational attention for the matter.
In many cases, this early work is the foundation of the entire service. Even when the final result is not yet visible to the client, JapanSolved™ may already be using professional time, local knowledge, language ability, operational judgment, and strategic coordination to move the request forward.
A non-refundable fee therefore does not mean the client receives nothing if the outcome later changes. It means the value has already begun through review, judgment, research, preparation, coordination, and reserved capacity.
Outcome and Work Performed Are Not the Same
JapanSolved™ may assist with matters that depend on outside conditions, third parties, market availability, travel schedules, property owners, sellers, agencies, logistics providers, institutions, government offices, private individuals, vendors, or other external participants. Because these conditions are not fully controlled by JapanSolved™, a final outcome cannot always be guaranteed.
An item may become unavailable. A seller may stop responding. A property may no longer accept applications. A schedule may change. A logistics route may become restricted. A third party may refuse cooperation. A venue may close. A government-related process may require additional steps. Costs may change. A client may delay necessary information. Market conditions may shift before a case can be completed.
These external changes do not erase the work already performed by JapanSolved™. Research, communication, coordination, strategy, preparation, and reserved time remain compensable even if the final outcome becomes unavailable, delayed, altered, or impossible for reasons outside JapanSolved™’s control.
Client Responsibility
Clients are responsible for providing accurate, complete, and timely information. JapanSolved™ relies on the information provided by the client in order to evaluate and proceed with a request. If a client provides incomplete details, changes the scope, delays communication, becomes unreachable, gives incorrect information, or later decides not to proceed, payments already applied to review, preparation, consultation, research, coordination, or activation remain non-refundable.
Non-refundable fees may also apply when a client changes their mind after work has begun, finds another solution independently, misunderstands the nature of the service after policy information has been made available, decides the project is no longer urgent, or chooses not to continue after JapanSolved™ has already reserved time or performed meaningful work.
This policy helps ensure that JapanSolved™ can treat each serious request with the depth, attention, and discipline it deserves.
Third-Party Costs and External Commitments
Some JapanSolved™ cases may require coordination with third parties. These may include sellers, agencies, translators, interpreters, drivers, local representatives, shipping providers, storage providers, booking platforms, inspection services, consultants, vendors, or other outside participants.
Once third-party costs are paid, scheduled, reserved, authorized, or committed, they may not be recoverable. JapanSolved™ cannot guarantee that third-party providers will issue refunds, reverse charges, preserve availability, or adjust their own terms after arrangements have begun.
Where third-party costs are involved, the client remains responsible for those costs unless JapanSolved™ clearly states otherwise in writing. Non-refundable treatment may apply both to JapanSolved™ service fees and to third-party costs that have already been committed or made necessary by the client’s request.
Credits, Continuations, and Discretionary Adjustments
In some cases, JapanSolved™ may choose to apply part of a paid amount as a credit toward a future phase, continued engagement, revised request, or related project. This may occur when the original request cannot proceed in its initial form but the work already performed can still support a practical continuation.
However, a credit is not the same as a refund. A credit allows value to remain inside the JapanSolved™ system and may be applied toward future work at JapanSolved™’s discretion. It does not automatically entitle the client to money returned after review, research, preparation, or coordination has already begun.
Any credit, continuation option, adjustment, or exception must be approved by JapanSolved™ in writing and will depend on the facts of the case, the stage of work already performed, third-party commitments, client conduct, timing, and operational feasibility.
When a Refund Review May Be Considered
JapanSolved™ may review a payment issue if there is a clear duplicate charge, technical billing error, incorrect amount charged, or payment made for a service that JapanSolved™ explicitly declined before any review, research, consultation, preparation, coordination, or reserved-capacity work began.
These situations are limited and will be reviewed case by case. Once JapanSolved™ has begun reviewing the matter, preparing a response, conducting research, reserving operational capacity, coordinating internally or externally, or performing any customized work connected to the request, the non-refundable policy generally applies.
Why This Policy Protects the Quality of the Service
Complex Japan-related requests require seriousness from both sides. JapanSolved™ must be able to reserve time, analyze problems carefully, prepare correct pathways, and engage with local realities without treating each case as casual unpaid speculation.
This policy protects the quality of the service by ensuring that paid work is respected as work, even when it is analytical, advisory, preparatory, strategic, or invisible at first glance. It also helps filter requests so JapanSolved™ can focus on clients who understand the value of disciplined preparation and responsible execution.
By proceeding with a paid phase, the client acknowledges that JapanSolved™ may immediately begin applying professional judgment, internal resources, and operational time to the matter. The client also acknowledges that such work has value independent of whether an external outcome is ultimately guaranteed.
Relationship to the Legal Hub
This Non-Refundable Policy should be read together with the broader JapanSolved™ Legal Hub, including the Terms of Service, Payment Policy, Privacy & Confidentiality, and any written agreement, quote, invoice, project note, or communication provided for a specific case.
Together, these policies explain how JapanSolved™ handles complex requests, paid intake, consultation, custom research, quotation preparation, project activation, client responsibilities, third-party coordination, confidentiality, and engagement boundaries.
If there is any difference between this general policy and a written case-specific agreement issued by JapanSolved™, the case-specific written terms may apply to that particular engagement.
Final Note
JapanSolved™ uses a non-refundable structure because serious work often begins before the client can see the full machinery moving. A request may begin with a message, but behind that message may be evaluation, judgment, local knowledge, research, preparation, scheduling, communication strategy, and reserved capacity.
This policy exists so that every client enters the process with clarity.
When you proceed with JapanSolved™, you are not only paying for a final visible result. You are paying for the disciplined work required to understand the matter, prepare the path, and handle the request with the seriousness it deserves.
